Chapter Guidelines Part 1

All Chapter Board Members will be required to agree to Chapter Guidelines, Code of Ethics, Non-Compete Agreement and Non-Disclosure Agreement.

Military Birth Resource Network & Postpartum Coalition Chapter Member Statement

 

Expectations:

  • Support Military Birth Resource Network (MBRNPC) mission, vision, and goals

  • Be a member in good standing of Military Birth Resource Network & Postpartum Coalition

  • Attend and assist with chapter sponsored events

  • Agree to serve for a minimum of two years

 

Leadership:

  • Maintain integrity and good decision making

  • Work as a team

  • Recruit and help retain leadership in the chapter

  • Complete and submit quarterly and annual reports to

    MBRNPC in a timely manner and base as outlined in PO guidelines

  • Recruit and help retain new members to MBRNPC

  • Maintain a cooperative, working relationship with base command,

    base programs and military treatment facilities

  • Serve MBRNPC and the chapter as a whole rather than any special

    interest or constituency

 

Programs/Events:

  • Encourage members to attend all chapter sponsored events

  • Provide free programs for women and their families within the community

  • Promote MBRNPC chapters within the military community by assisting other duty stations that desire starting a new chapter 

  • Cooperate and assist local chapters of MBRNPC

 

Membership:

  • Maintain a current membership in MBRNPC at all times

  • Solicit and encourage professional members and birth supporters

  • Maintain communication with chapter members and supporters

 

Military Birth Resource Network Chapter Leader Fiduciary Responsibilities

  • Maintain a chapter account at an FDIC insured financial institution to hold all funds that belong to the chapter

  • Exercise fiscal prudence in control and transfer of MBRNPC funds

  • Participant in fund raising events, programs, and activities of the chapter

  • Designate Military Birth Resource Network & Postpartum Coalition as the beneficial of the chapter bank account

  • Assist as needed in preparing all financial records that are to be submitted to MBRNPC

  • Submit all the chapter banking account information to MBRNPC

  • I agree that all money in the chapter bank account and raised by the chapter is Military Birth Resource Network & Postpartum Coalition’s money, not personal money of the chapter leader(s) (with exception of verifiable reimbursements with receipts)

  • I agree that all money held in the account and raised by the chapter becomes the property of Military Birth Resource Network & Postpartum Coalition if the chapter closes or dissolves

  • If the chapter closes or dissolves a check will be sent to Military Birth Resource Network & Postpartum Coalition for the total of the chapter’s account and the final statement from the bank along with written departure notification.


Expectations of ALL Board Members

• Be responsible to the President and any assigned Vice-President.

• Read and be familiar with the By-Laws, Mission, Vision and Goal Statement, and Standing Rules that apply to your position.

• Carry out the specific duties outlined in your position’s job description.

• Attend all monthly Board meetings or send a representative and prepare a report. If unable to attend because of a last minute emergency, inform the President.

• Reports should include work accomplished, recommendations, and expenses incurred. If you do not have a report, type “nothing to report” and email it to your chapter email account.

• Prepare a detailed after action report for any special function or activity you chair. Include information on organizations, contacts, costs, problems, and recommendations for improvement.

• Prepare an end of year report for the end of year changeover board meeting. Include total expenses in each budget category, highlights of the year, problems, and recommendations for changes/improvements and for budget figures for next year. This will also need to be reported to your base if you are an approved Private Organization.

Maintain the notebook for your chair position. It should include the following:

  • Current roster of board members and year’s schedule of events

  • Current copies of the MBRNPC By-Laws, and Standing Rules

  • Current job description and board member duties

  • Monthly board reports and any after action reports

  • Current year Executive Board meeting minutes (for President, VPs and Secretary only)

  • The current budgets

  • Any property inventory for your board position (keys, supplies, etc.)

  • Blank forms

  • Other helpful information on how to carry out your specific duties. This information may be in the form of notes, checklists, etc.

Be responsible for financial matters:

  • Maintain an accurate accounting of your budgeted funds. Keep track of expenses and annotate them in your monthly board report.

  • Submit completed Funds Requests and receipts for all purchases to the appropriate treasurer. Use the Funds Deposit form for depositing monies.

  • If you need more money than what’s been budgeted, prepare a request and present in the form of a motion to the Treasure, Vice President and President via email.

  • Give your successor budget recommendations for the following year.

Conducting business/making motions:

  • Inform the President, via email, approximately one week before a Board meeting, of any business or motions you want placed on the agenda.

  • Email the motion wording to the MBRNPC email account. Keep a copy of the email in your binder.

  • The motion must be seconded before any discussion begins.

  • If your board position requires, attend the budget meetings at the beginning of the year.

  • Attend and support MBRNPC sponsored events and activities to the best of your ability.
